Data we collect and legal basis for doing so
The followings scenarios explain which data we collect as part of our business processes. We may also collect other information that you provide on voluntary basis. All data we collect are kept on the business premises and/or on secure servers (email, website) and we never share data we collected with third parties unles required by law, or when instructed to do so by the data originator.
You can request information about which data we keep about you, amendments or deletion of such data, by sending an email to . Please be aware that any sensitive information sent over the email may get intercepted, therefore we strongly recommend visiting us in person. If you request deletion of certain data from our systems it will affect our ability to track products for warranty purposes (eg. when your name and other details are deleted from our sold bikes database we are not be able to confirm sales date by looking up the frame number, meaning that you will have to produce the invoice when claiming a warranty issue).
- When you contact us by email we collect your name and email address. As part of an email communication we also have access to the internet protocol (IP) address. We keep such information as long as necessary to fulfil your request, and for up to 6 months for future reference, this is done on legitimate interests basis.
When you buy a new or recycled bike from us we collect owner’s name and phone number (or email address plus IP address in case of online sale) for warranty purposes. This is done on legitimate interests basis, enabling us to track the bike should we need to confirm sales date or ownership. You may also use our records in case you need confirmation that you own the bike (eg. insurance claim).
- When you leave a bike with us for service then we collect your name, one or both the phone number and email address, or other details such as home address in case you do not wish to leave your phone number or email address with us. This is done on contract basis, helping also to contact you should there be any unexpected issue with your bike and to contact you when your bike is ready for collection. We keep such data until the repair is paid for after which the sales record is anonymised.
We can still process the repair or service if you do not leave information mentioned above with us. Please note we are not able to communicate further issues found regarding the repair, hence we will proceed with work stated on repair sheet but only if safe to do so. Also, it will be your responsibility to contact us about repair status. Storage charges for uncollected repairs (£5/day) will apply strictly from 3rd day following agreed collection date. Additionally, when the storage + repair combined value reach 100% of the bike’s estimated market value after repair, we will offer the bike for sale to recover our costs.
- When you leave a bike with us for crash damage assessment, insurance valuation, etc., we collect your name, and one or both the phone number and email address. This is done on contract basis and we keep such data for no longer than 6 months.
When you hire a bike from us we collect your name, home address, and one or both the phone number and email address. We keep this data for 6 months after all the equipment you hired from us is returned, this is done on contract basis.
In case the equipment gets stolen we keep the data above plus Crime Reference Number you supplied, for as long as practical to contact you and/or the Police if we recover any such items. This is done on legitimate interests basis, and we usually keep the data for maximum of 2 years.
When you place an order with us (for any parts, accessories or bike we do not usually hold in stock), we collect your name, and one or both the phone number and email address. This is done on contract basis and we keep such data until the order is finalized.
When you request bike pickup/delivery we collect your name, one or both the phone number and email address, and address where the service has to be provided. This is done on contract basis and we keep such data up to finalization.
When you request lock cutting service and are able to provide proof that you own the particular bike, we collect your name, one or both the phone number and email address, and address where the service has to be provided. This is done on contract basis and we keep such data up to finalization.
If you are unable to provide proof of ownership we also need to see your photographic ID in addition to the data above. This is done on legitimate interests basis and we keep such data for maximum of 6 months.
What are cookies? Cookies are small files saved to the user's computers hard drive that track, save and store information about the user's interactions and usage of the website. This allows the website, through its server to provide the users with a tailored experience within this website.
